Trinity communicates with its users through a mass email system referred to as the “listservs”. A user may send an email to one (or more) of the listservs, and it will be distributed with the appropriate group of people after administrator approval. Common listservs can be found below, as well as instructions for moderating listservs.

When emailing a listserv, please write your message the way you want it to appear when distributed. The list administrators do not edit or repeat messages.

Any Trinity user may log into the listserv management site to view their currently subscribed listservs and unsubscribe from certain ones. To log in:

  1. Navigate to https://lists.trnty.edu (this URL will redirect to https://mailman.trnty.edu – either link works).
  2. Click Login in the upper right of the page.
  3. On the Sign In page, click Microsoft Graph (DO NOT enter your Trinity credentials on this page, as it will not work).

  1. On the next page, click Continue.
  2. Sign in with your Trinity account.
  3. If this is your first time logging into the listserv site, you will need to verify your email address – you will receive an email to your Trinity address with a link. Click this link to verify your email.

  1. After signing in, you will see both lists that you moderate (if applicable) and lists that you are subscribed to (such as Alert, Marketplace, Staff, etc.).

If you have been set up as a listserv moderator, you have access to approve or reject emails sent to that listserv. Log in with the instructions above, then use the following instructions to view messages that are currently held for approval.

Approving Messages

  1. Select a listserv that you moderate.
  2. Under the Held messages tab, you will see any emails that have been sent to the listserv that are being held for approval.

  1. Click on the subject of the email to view the contents. Be sure to review the content carefully, including any attachments, to ensure that the email is legitimate and that no sensitive information was mistakenly included. (Note that images that may have been included in the email will appear as a link below the email contents. These images will appear as the sender intended once the email is released.)
  2. Generally, DO NOT use the “Set member moderation” field except for spam emails. This will set a permanent rule for any emails this member sends to the listserv in the future. You may use this, for example, if you receive many spam emails from a certain email address – you may select “Discard (no notification)”, and any future emails from that sender will be automatically discarded.
  3. To approve or reject the email, use the Accept, Reject, or Discard buttons.
    – Accept will immediately release the email to the listserv members.
    – Reject will remove the email from the Held Messages queue without releasing it and send the user an email that their message was rejected.
    – Discard will remove the email from the Held Messages queue without releasing it and will not send the user any notification. (This is often used if a listserv recipient mistakenly uses the “Reply All” function in response to a listserv email, which will include the listserv as a recipient of their reply.)

Viewing Past Messages

Select a list that you moderate. Under the Info tab, you can view all past messages sent to the listserv under Archives:

Approving Subscription Requests

Select a list that you moderate. Under the Subscription requests tab, you can approve any requests from users to subscribe or unsubscribe from the listserv. This function will typically not be used, as listservs are auto-populated with members based on specific criteria from CAMS.
